Why Zoho Invoice does not know your total exposure
Zoho Invoice is built to get an invoice out and get it paid. Filing one return means knowing which state the sale was taxable in, whether you have crossed a threshold there, and whether an exempt customer has a certificate behind the flag. Commenda solves that.
Zoho Invoice bills. It does not decide whether tax was owed
Zoho describes Zoho Invoice as software small businesses and freelancers use to create and send invoices and collect payments faster, plus quotes, expenses and timesheets. It stops short of accounting: Zoho states you cannot view profit and loss in Zoho Invoice because creation of accounts is not supported. Tax is a rate you configure, not an obligation it evaluates. Its US tax setup covers creating a rate, grouping rates, naming a tax authority and recording an exemption reason. Whether that rate was the correct one for the buyer's address is left to you.
One invoice can create a filing obligation
A single large transaction can breach a state's economic nexus threshold on its own. Most states sit at $100,000 or 200 transactions in a twelve-month window, with California and New York at $500,000. We have seen one six-figure sponsorship invoice trigger nexus in a state in one shot. That matters more, not less, when you send 500 invoices a year rather than 50,000, because each one is larger.
Zoho routes growth to a different product, and the tax gap goes with it
Zoho's own pricing page points businesses that are scaling toward Zoho Billing, and its India, UK and US tax filing documentation sits under Zoho Books rather than Zoho Invoice. So the honest read is that outgrowing Zoho Invoice usually means changing product. You can combine two or more rates into a tax group to cover state and local layers. Whether that rate is correct for the buyer's address, and whether the item is taxable there, is your judgement. Commenda calculates state, county, city and district on the transaction, maintains rates across 13,000+ US taxing jurisdictions, and applies product taxability per jurisdiction.
Zoho Books does considerably more, and Zoho says so in its own words on three of them. Zoho Books has Sales Tax Automation, which it describes as powered by Avalara and which calculates US tax from your registrations and the customer's verified address. It stores exemption certificates with expiry dates. Its UK edition files VAT directly to HMRC. Its India edition files GSTR-1 and does e-invoicing as a GST Suvidha Provider. Against each of those, Zoho states that e-invoicing is not supported in Zoho Invoice, that you can invoice only in your base currency, and that profit and loss is unavailable because creating accounts is not supported. Commenda works the same way on either one, because it reads the transactions rather than the tax setup.
